Make A Digital Planner with Hyperlinks: Don’t Link Blindly!

Sharing is caring!

Adding hyperlinks to your digital planner can make or break the user experience. But if you don’t set them up correctly, you could end up with a frustrating, broken mess! 😬 Let’s go over the right way to add hyperlinks to your planner—so everything works seamlessly!

You can hyperlink more than just the dates in your digital planner… Make a Digital Planner with Hyperlinks and create a linking plan that helps your user without losing your mind.

Creating digital planners with hyperlinks has revolutionized the way we organize our schedules, tasks, and projects. By leveraging user-friendly design platforms like Canva, Affinity Publisher and KeyNote we can craft customized planners that not only look great but also enhance the productivity of our customers with the power of hyperlinks.

In this post I want to help you choose a digital planner linking strategy that will help your user enjoy amazing productivity regardless of the type of planning they are doing.

Don’t just link the dates in a planner. The users want an app like experience.

Why Hyperlinks Matter in Digital Planners

Adding hyperlinks to your digital planner isn’t just a cool feature—it’s what makes digital planners feel premium, polished, and functional.

Unlike printable planners, digital planners should feel seamless to use. No one wants to scroll endlessly to find their weekly pages or search manually for a section. Instead, hyperlinks allow users to:

Instantly navigate between sections—just like clicking tabs in an app!
Jump between months, weeks, and daily pages with ease.
Access important sections quickly (goals, notes, budgets, etc.).
Create a professional planner that feels polished & high-end.

💡 Pro Tip: If your planner has a lot of pages, setting up a hyperlink index or clickable tabs significantly improves the user experience.

But not all hyperlinks are created equal—and if you don’t set them up correctly, they can ruin the planner experience instead of improving it! 🚨

👉 Next, let’s go over the what a hyperlink is when talking about digital planners.

What is a Hyperlink?

A hyperlink allows us to click on an element in the planner and jump to another area of the planner. This mysterious “element” can be as simple as a word or number, a shape, an image, or even an icon.

Adding a hyperlink or link for short makes it easy to create a flow for your digital planner users.

If you link a digital planner you are creating a planning ecosystem. It can save your user so much time!

There are several easy to use tools that will let you add a link to a document and then export the document to a PDF.

Yep, a digital planner is just a PDF with links. The magic happens when that PDF is opened in a PDF annotation tool on table or computer where the user can write right on the screen like they would write in a traditional planner.

The most popular PDF annotation tool is GoodNotes, but there are many different ones on the market today with Free versions.

So now that you know what a hyperlink is and how the planner is used…

👉 Next, let’s go over the most common hyperlink mistakes (and how to avoid them).

Common Hyperlink Mistakes (and How to Avoid Them!)

Adding hyperlinks to your digital planner should make navigation seamless, but if they’re not set up correctly, they can frustrate users instead of helping them. Here are the top three mistakes beginners make when adding hyperlinks—and how to avoid them!

Mistake #1: Broken Links or Missing Hyperlinks

Have you ever clicked on a hyperlink and… nothing happened? 🙃 This usually happens when:

❌ The hyperlink isn’t actually linked to anything (oops!)
❌ The link points to the wrong page
❌ The hyperlink was accidentally deleted during editing

💡 Fix It:
Double-check each link before finalizing your planner
✔ Use Affinity Publisher’s Hyperlink Panel to verify all links
Test the exported PDF in a note-taking app (like GoodNotes) to confirm everything works

Mistake #2: Misaligned or Misplaced Anchors

Anchors tell your planner where to jump when a hyperlink is clicked—but if they’re placed incorrectly, users might land in the wrong spot or on a blank page.

💡 Fix It:
✔ Place anchors at the top-left of the target page for consistency
✔ If linking to specific sections, use clear anchor names (e.g., “January” instead of “Text Box 1”)
✔ Always test the links to ensure they go to the right place

Mistake #3: Inconsistent Link Styles

A planner with inconsistent hyperlinks can look unpolished and confusing. Some common style mistakes include:

❌ Some tabs are hyperlinked, but others aren’t
❌ The text style changes when clicked (making it obvious it wasn’t formatted consistently)
❌ Different color styles for hyperlinks that look out of place

💡 Fix It:

✔ Make sure ALL tabs and buttons are hyperlinked
✔ Set a consistent text style for links (same color, no unwanted underlining)
✔ Test across multiple devices and planner apps (GoodNotes, Notability, etc.)

Each of these mistakes happen to every planner creator. I personally love using Affinity Publisher to make my digital planners because troubleshooting these issues is a lot easier!

Publisher has a hyperlinks window that let’s you see all the hyperlinks in your planner and test them right in the software. So you can test without exporting 100 planners to get things right.

Essentials of Linking Digital Planners

Creating an effective digital planner hinges on well-structured hyperlinks and planner consistency, this will let our users easily navigate our planners. We’ll cover the crucial steps to organize your pages for efficient linking and highlight how automation can streamline this process.

The goal when you make a digital planner with hyperlinks is to make planning an easy process for your user and possibly guide them to the next step.

Organizing your digital planner pages for linking

Before we dive into hyperlinking, it’s essential that our pages are organized to a T.

When I create a planner, I start by planning out the pages and sections in what I call my Magic Digital Planner Organizer and Workflow so that they are easy to organize and track.

Digital Planner Organizer and Workflow Planner

There are a few pages every planner should have. So let’s start there!

  • Cover
  • Business Splash Page
  • Index
  • Year-at-a-Glance (optional)
  • Monthly pages
  • Daily and or Weekly Pages
  • Notes Pages

Checkout the organizer and workflow tool here.

Once you have all your pages, and the templates organized you can start the linking process.

You will want to link the following items.

  • Index: it’s the roadmap to your planner and should provide quick access to the rest of the sections. Ensure that every item listed is clickable, leading to the respective page.
  • Tabs: Just like tabs in a physical binder, these should take the user to different sections such as monthly, weekly, or daily overviews.
  • Mini Monthly Calendar: This lets users jump to a specific day or week with a single tap.
  • Month Pages: This lets the user jump to the daily page and or the weekly page.
  • Daily Pages: From the monthly view, each day should link to its detailed daily page.
  • Weekly Pages: Similarly, these links provide a bridge from the monthly overview to a detailed week.

I like to create tabs for the special sections of my planner as well. So down the right side I’ll have the month and down the left or at the top I add special tabs.

By organizing our planner’s pages and making navigation easy, we ensure a seamless user experience. Moving from an Index to the desired Daily Page should be a matter of a few clicks.

Benefits of automating the linking process

Automation in hyperlinking can save us a significant amount of time and reduce manual errors. The advantage of an automatic linking feature is that it ensures consistency throughout the planner.

  • Hyperlink the Daily Pages: Automatic linking here guarantees that each day is connected to its corresponding detail page without fail.
  • Alongside these primary links, consider adding in Icons you should add and Hyperlink. These icons can represent tasks, notes, or reminders, and provide an interactive element to your planner—turning it into an efficient organizational tool.

If you are using Affinity Publisher, it has an amazing data merge feature for adding the dates, and hyperlinking. The glitches in the hyperlinking have been worked out! whoohoo.

This made my day! You can now add dates and hyperlinks as the final step in creating your planner and it has reduced the number of pages that we have to create manually. It’s so exciting to me. You can either make the data sheet yourself, or I have have 3 different level of data sheets you can purchse.

Automating these links upon creation helps maintain a clean, uniform format and leaves little room for mistakes that could disrupt navigation. Overall, integrating hyperlinks strategically and utilizing automation techniques are essential for crafting a digital planner that stands out.

Where to Add The Links?

When we create a digital planner, placing hyperlinks strategically enhances navigation and usability. Here’s a guide to where we should add these links:

  • Hyperlink the Index: The first page, or the index, serves as the gateway to the rest of the planner. Here, we can link to key sections or pages within the digital planner.

  • Hyperlink the Tabs: Just like physical dividers, tabs in our digital planner can be hyperlinked to jump directly to a specific section, whether it’s monthly, weekly, or daily overviews.

  • Hyperlink the Mini Monthly Calendar: By adding links to the days on a mini monthly calendar, we provide quick access to daily pages.

  • Hyperlink the Monthly Days: For a more detailed view, the days in the monthly calendar section should have hyperlinks that take us straight to the daily page.

  • Hyperlink the Weekly Pages: If we’re including weekly overviews, each week can be linked from our monthly view or the index to get a snapshot of the week’s agenda.

  • Hyperlink the Daily Pages: For meticulous planning, each day can be hyperlinked from weekly overviews or the monthly calendar, enabling us to navigate to the page for detailed daily activities.

  • Icons we should add and Hyperlink: To make our planner more intuitive, we can incorporate and hyperlink icons for quick actions or frequently used pages such as notes, to-dos, or contacts.

  • Adding external links: If you’re planner is for a specific process, it may make it easier for the user to add links to videos, and additional resources right inside the planner.

It’s important to consider the flow of how someone might use the digital planner. Keeping things consistent will allow us to ensure efficient and logical placement of hyperlinks, making the planner more than just a digital notebook but a powerful organizational tool.

Integrating Hyperlinks

In our digital planners, hyperlinks are foundational for navigation and accessing external information seamlessly. Let’s discuss how we can anchor our content effectively.

Navigation Basics

When creating hyperlinks within our digital planners, the process is straightforward. We select the element—a piece of text, a shape, or an image—and apply the hyperlinking function to bind pages together internally. This enables us to jump to specific sections, creating an interactive experience. For instance:

  • Text Hyperlinking: We highlight the desired text and use the linking tool to associate it with a specific page.
  • Image Hyperlinking: We click the image and attach the link to navigate to another part of the planner.

These hyperlinks help our users smoothly navigate the pages in the planner.

Linking to External Resources

To expand the utility of our digital planners, we incorporate links to relevant external resources. Hyperlinking to websites or documents can provide additional information or resources beyond the scope of the planner.

We can even link the dates and times to things like Google Calendar, iCalendar, and even Outlook Calendar.

For each external link, the process involves:

  1. Selecting the text or image to serve as the link anchor.
  2. Clicking the link icon to input the external URL.

If you have a single url you want to link in several sections the best way I have found to do this is to automate the linking process using PDFLinkR.

Through the careful integration of external hyperlinks, we transform our digital planners into gateways to a broader world of information.

Getting Started with Your Planner Creation

Creating a digital planner with hyperlinks requires careful planning and the appropriate tools. By making the right choices at the beginning, we ensure our planner is well-constructed and user-friendly.

Choosing the Right Software

Let’s talk software…. If your ready to make your digital planner you will need a software tool that will allow you to make hyperlinks.

The following 4 options are the best free, low-cost or one time fee software options:

  • Affinity Publisher*
  • KeyNote
  • Canva
  • PowerPoint

These four options are the most popular and they have the flexibility we need for customization.

*Affinity Publisher is my software of choice because it has the ability to import dates, hyperlinks and images making it the premier choice with it’s one-time fee.

Canva is known for its user-friendly interface, making it a suitable option even if we are not experienced with graphic design. But it does have some drawbacks.

For a more hands-on approach with robust features, Affinity Publisher is the go-to as it enables more control over the design elements, data merge for dates, hyperlinks and images and it totally rocks.

Each of these platforms have their own pros and cons, so research is important.

Setting Up the Structure

The structural foundation of our planner is critical. We start by outlining the basic framework:

  1. Determine the Duration: Decide whether the planner will be for the year, quarter, or month.
  2. Define the Sections: Break down the planner into sections such as daily, weekly, monthly, and notes.
  3. Process Templates: Decide the templates your user needs to solve their problem. This could be habit trackers, process guides, or even other smaller type planners.

Process Template Exploration

This is where many planner designers get lost. It falls into the category of “What do I add to my planner”. A digital planner is supposed to save time, energy, and increase productivity. A good digital planner does this for a specific person.

So let’s talk a student planner for a moment. A student has a lot going on, and a college student has even more going on… says the mom of 2 and mother-in-law of college students.

So creating a planner for college students may include (mine did) the follow “Process Templates”

  • Work hour tracker
  • Asssignment tracker
  • Course schedule
  • Grade tracker
  • Course links page
  • Workout tracker
  • Essay planner
  • Group project planner
  • Presentation planner

These are Templates and Mini Planners that my audience (target market) asked me to include in the planner.

So what can you add to your planner to make it stand out?

Once the framework is in place, we set up tabs or a navigation index which will contain hyperlinks to guide users through the planner.

You want to make sure your hyperlinks are consistent and easy to spot. It’s so important for a fluid user experience. Each section of your planner will have a corresponding hyperlink, enabling quick and effortless navigation.

Designing Your Planner

The success of a digital planner hinges on its design, which encompasses both visual appeal and usability. I’ll guide you through creating a cohesive layout and optimizing customization options to fit your audience’s needs.

Layout and Aesthetics

Planning the Layout: It’s time to plan your digital planner’s structure thoughtfully.

Begin with envisioning how users will navigate through your planner. Your goal is to form a grid that organizes content logically and simplifies interaction.

To keep hyperlinks consistent, utilize the same color, font, and size for all clickable elements, ensuring they stand out against other content.

  • Choosing a Theme: Decide on a theme that reflects the intended use of the planner, whether it’s for professional, academic, or personal life. This theme will influence the color scheme, typography, and imagery.
  • Creating a Cohesive Look: Use complementary colors and consistent font styles to make the digital planner visually appealing. Insert a realistic background to add depth to the planner’s appearance.

We include these tracking features in our Workflow and Planner Organizer too.

Customization Options

Empowering with Customization: Users cherish the ability to personalize their planners. By incorporating interchangeable templates and elements, we empower users to tailor their planners to their individual tastes and requirements. Here are unique elements to offer:

  • Templates: Provide a selection of templates for daily, weekly, or monthly planning.
  • StickersAdding a collection of digital stickers can enhance the fun and functionality of the planner.
  • Fonts and Colors: Allow users to choose from a variety of fonts and color palettes to customize their planner’s look. This personalization makes daily planning an enjoyable experience.

By focusing on a well-structured layout and providing robust customization options, we ensure that the digital planner we design is not just a tool but a personalized companion for our users’ everyday lives.
